Registration Refund Policy (last updated May 27, 2016)
The VDL relies on the cooperation of all captains and players in following these guidelines so that the league runs properly with minimal disruptions for the benefit of all.
In order to qualify for a refund of your team registration fee, a notice of withdrawal must be sent in writing to <email@example.com> by the deadlines listed below. Please state your League Night Division, along with your team name, and the reason for your team’s withdrawal.
All refunds are subject to a $100 processing fee.
Teams that withdraw before or on the last day of Early Bird registration pricing, June 30, 2016, will receive a full refund, less the processing fee.
Teams that withdraw on or after June 30, 2016, will only receive a refund of 25% of their league fees paid, less the processing fee.
Teams that withdraw after the final registration deadline, August 21, 2016, will not be eligible for a refund.
VDL encourages all teams to attend their league games every week. Without a full attendance of teams, it compromises VDL’s promise to deliver each team 15 games per night. One team’s absence affects the league, and of course the teams in their time slot. Please be courteous to other teams and the league; notify your Division Director as soon as possible in the case that your team will not be able to attend your game(s).
In the case that your team is absent without notification, the league will choose one of the following:
1) If a team is absent from the league for more than 2 weeks consecutively without notifying their Division Director, their spot in the league will be considered forfeit, and no refund will be granted unless:
- Said team presents special circumstances to VDL to explain their absence. Please see the “Special Circumstances Refund” section
2) If a team is absent from the league for more than 2 weeks consecutively without notifying their Division Director, and the first re-tiering has already occurred, their spot in the league will be considered forfeit. No refund will be granted.
SPECIAL CIRCUMSTANCES REFUND
VDL understands that emergencies or unforeseen circumstances may arise at any time. If your team has to withdraw due to extenuating circumstances, please submit a request detailing the circumstances, along with any proof or supporting evidence, and we will review your request on a case-by-case basis. Eligibility for a full or a partial refund will be determined at VDL’s sole discretion.
Team deposits are non-refundable.
Team deposits are transferable to a player’s secondary team, but will not be transferred to future seasons.
Teams who have not cleared their balance by the Returning Team Registration Deadline will forfeit their deposits.
Please allow 2-3 weeks for processing. Refunds will be made by cheque.
